1. Formal Complaint Letter

When to use: Product defects, poor service, billing errors, professional misconduct. Tone: Firm but professional. State facts, not emotions. Be specific. Length: 1โ€“2 pages. Concise wins.

2. Resignation Letter

When to use: Leaving a job under any circumstances. Tone: Professional, gracious, forward-looking โ€” even if you're leaving unhappily. Length: Short. One paragraph of substance is enough. Rule: Never burn bridges in a resignation letter. Save venting for a trusted friend.

3. Recommendation Letters

A. For an Employee

4. Condolence Letter / Sympathy Note

When to use: Death of a loved one, serious illness, major loss. Tone: Warm, gentle, personal. Short is better than long. Critical rule: Never say "I know how you feel," "Everything happens for a reason," or "At least they're in a better place" โ€” these minimize grief, even when well-intentioned.

I was so saddened to hear about the passing of [Name of Deceased]. 

[Name of Deceased] was [one genuine, specific sentence about them: their kindness, 
their laugh, what they meant to you, a memory you shared].

I know no words can ease this pain, but please know that [you are in my thoughts /

For cards (very brief):

5. Formal Apology Letter

When to use: Professional mistakes, damaged relationships, public incidents. Tone: Accountable, sincere, non-defensive. No excuses. The test: If your letter includes more "but" sentences than acknowledgment sentences, rewrite it.

What I did [or failed to do] was wrong. [Name the harm directly: 
"I missed the deadline, which cost your team significant time."

6. Thank You Letters

A. After a Job Interview

Send within 24 hours. Email is acceptable; handwritten note is memorable.

Subject: Thank You โ€” [Job Title] Interview

Dear [Interviewer Name],

Thank you for taking the time to meet with me today about the [Job Title] 
position at [Company].

I left the conversation even more enthusiastic about the role. [Specific 
reference: "Your description of the team's work on [project] was genuinely 
exciting" or "I appreciated hearing about [challenge you're facing] โ€” it's 
exactly the type of problem I enjoy solving."]

I believe my experience with [relevant skill/background] would allow me to 
contribute meaningfully to [specific goal or need you discussed].

7. Cover Letters

A. Traditional Cover Letter

Best for: Corporate, finance, law, government, conservative industries

Best for: Tech, startups, creative industries, remote-first companies

Here's what I bring:

Best for: Design, advertising, media, entertainment โ€” only when the job signals they want personality

[Open with a hook โ€” a story, a challenge, a provocative question related to 
the industry or company]

Example opening: "The first time I redesigned something that didn't need 
redesigning, I was eight years old and I'd just disassembled our family's 
perfectly functional toaster. [Company]'s approach to [product] reminded me 
of that toaster โ€” not because it needed fixing, but because I couldn't stop 
thinking about how it could be better."

[Keep it to one page. Clever isn't a license for long.]

8. Demand / Cease-and-Desist Letter Framework

This is a framework, not a substitute for a lawyer. For serious legal matters, consult an attorney.
